How to sync with QuickBooks Online

Connect your QuickBooks Online account to sync bills, payments, and vendors to save time and eliminate double data entry. After the initial sync, it will happen automatically and you can also do it manually when needed.

 

Once connected, Pay Bills automatically takes all of your vendors’ info from QuickBooks, so you don't have to enter their details manually. When you've completed scheduling a payment in Pay Bills, your QuickBooks account is updated with the payment details.

 

There are 2 ways to sync with QuickBooks Online:

  1. From your settings.
  2. When adding a bill. 

How to connect to QuickBooks Online from settings:

  1. Sign in to Pay Bills.
  2. Go to  Settings in the left sidebar and click Accounting Software Sync.
  3. In the details section on the right, under Quickbooks Online, click Connect.

4. Sign into your Intuit account (if you’re not already logged in).

5. Allow Melio, our accounts payable partner, to access your QuickBooks Online information by clicking Connect.

Check whether your sync was successful:

  1. Go back to your account in Pay Bills. 
  2. In Settings, under Accounting Software Sync, you’ll see whether you’re synced.

How to connect to QuickBooks Online when adding a bill:

  1. Go to the Bills tab.
  2. Click Add bill
  3. When asked how you want to add a bill, select Sync with QuickBooks Online

4. Sign into your Intuit account (if you’re not already logged in).

5. Allow Melio, our accounts payable partner, to access your QuickBooks Online information by clicking Connect.

7. Once connected, bills from your QuickBooks Online account will be synced to Pay Bills. You can find them in the Bills tab.

 

Manual syncing 

After the initial sync, QuickBooks Online automatically syncs your data both ways. You can also manually sync them when needed.

There are two ways to manually sync your accounts:

1. Sync icon.

2. In Settings

 

Here’s how to manually sync with the sync icon: 

The simplest way to see when the last sync took place was, and manually sync is using the sync icon.

Once both accounts are connected, the sync button appears in the top right corner of the dashboard. It remains there regardless of the tab you’re in.

When you hover over it, you can see when the last sync happened. Click this icon to sync the two accounts manually.

 Here’s how to manually sync from Settings: 

  1. Go to Settings.
  2. Click Accounting Software Sync.
  3. Click Sync now to perform a manual sync.
